2002 MEETING MINUTES

The meeting opened at 11:30AM
Michael Lannan (Chair), Martha O'Brien (Vice-Chair) and Mike McGinley (Secretary) were all present at the meeting.
A sign-in sheet was passed around the room. An attendance list is included with these minutes.
1. A&WMA and the Conference
A&WMA Representatives visited each of the committees. Stan Hayes (ENVIRON, Corp.) introduced himself as the A&WMA Environmental Effects division chair.
- AWMA is seeking ways of getting more students and young professionals involved in the association. They request that all AWMA members promote the association and get younger professionals involved.
- The 2003 A&WMA Annual Meeting will be in San Diego, CA. 2004 will be in Indianapolis, IN. 2005 will be in Minneapolis, MN.
- The 2003 program will be managed with the same internet application system as this years conference. AWMA admits there were major problems with the web based system. Bugs in the program led to poor communication between AWMA and session chairs, authors, and paper reviewers. A 2-yr contract with the application development company forces AWMA to keep the system next year. They will be taking special steps to prevent the communication problems next year. If anyone knows of good systems used by other associations, they should contact Amy Klaus at AWMA Headquarters with recommendations.
- ~500 papers were submitted this year. This is ~200 less than last year.
- For 2003, AWMA has developed checklists for session chairs and committee chairs to monitor the progress of papers submitted for the conference. These checklists are being held by EE-6 Secretary, Mike McGinley, and will be provided electronically by AWMA.
The minutes from the 2001 Orlando Annual Conference were reviewed. No additions, deletions, or errors were noted.
The 2002 Baltimore odor session was well attended with 30-35 attendees for the papers. This years odor session was titled: "Odor Analysis and Regulation."
Two odor sessions have been proposed for next year:
WEF held an odors specialty conference this past 28 April - 1 May 2002 in Albuquerque, New Mexico. Over 335 people attended the conference where 66 presentations were made on different odor realted topics.
A&WMA provided promotional assistance for this conference and was technically a
"sponsor", however, A&WMAs involvement did not include any revenue
sharing.
A&WMA Odor Specialty Conference in 2004!!
The next WEF Odor Specialty Conference will be held in April/May
of 2004. No location is set, however, a location in the
Northwest U.S. is planned (e.g. Seattle). This conference will be officially a
joint conference held by WEF and AWMA (led by WEF). Dick Pope (EE-6 member) is
the program chair of the conference and Michael Lannan (Chair of EE-6) will act as a
Technical Liaison between AWMA and WEF. They will be looking for assistance from
EE-6 to help put together a program track that will include odor issues from various
industries and on odor topics not often covered in-depth at past WEF conferences.

The 2nd IWA International Conference on Odour & VOC's (Measurement,
Regulation, and Control Techniques) will be held in Singapore on 14-17 September
2003. The International Water Association is the main conference sponsor. AWMA
is listed as a co-sponsor for this conference. More information can be found at www.iese.ntu.edu.sg .
The American Society of Agricultural Engineers (ASAE) is holding a three-topic specialty
conference 11-14 October 2003 in Durham, North Carolina. All three topics are
related to animal feeding operations. The segment of interest to this committee is
the Third International Conference on Air Pollution from Agricultural Operations.

AWMA asked that our committee review our current name (EE-6 "Odors"). There are concerns in AWMA that our name may conflict with the AE-2 committee: "Control of Solvents, Odors, and Gases." Our committee discussed this issue and decided that our committee name is general and fits well with our topic area. The members in attendance felt that creating a more complex name could become confusing or lock us into specific subject areas. Michael Lannan (Chair) will contact AWMA and the AE-2 committee regarding our decision. He will request that AE-2 consider removing "odors" from their committee title in order to limit some crossover. He will also suggest to AE-2 that we work closer together at developing joint sessions for future conferences and that the committee meetings are held at different times.
AWMA also asked that all committee review their mission statements. The members in attendance reviewed the mission statement and feel that it still fits what we do as a committee. Michael Lannan will inform AWMA of our decision. The mission statement is available for review on our committee home page ( www.fivesenses.com/ee6). If you have any concerns about this mission statement or have suggestions for any changes, please contact Mike Lannan at lannanmt@cdm.com.
The WEF Manual of Practic (MOP): "Control of Odors & Emissions from WWTP's" was available for review. The authors have completed a first draft and these drafts have been through one round of peer review. The deadline for reviews is now past and the document is moving forwards towards publication which is scheduled for June 2003.
Martha OBrien stated that the EE-6 Odor Sampling & Measurement Guideline Document should be voted on this year. Any further comments should be submitted to Martha as soon as possible! This document is available for download on the EE-6 web site under "Current Activities."
The ASTM Olfactometry standard document E679-91, Determination of Odor and Taste Thresholds by a Forced-Choice Ascending Concentration Series Method of Limits, is up for it's required five year review and reapproval. The ASTM E18, Sensory, Committee has started reviewing this document as well as the new European odor testing standard (prEN13725) and a new ISO Forced-Choice Threshold Testing Standard. The ASTM committee expects to reapprove the E679 document in it's existing format. However, at the ASTM meetings in Montreal in October, the E18 committee will discuss the possibility of creating a new, more detailed odor threshold testing standard. AWMA has asked that committees update their membership lists. AWMA requires that
a member of a committee must be an AWMA member and must attend a committee meeting at
least once every three years.
Melba Hensel did an excellent job of reviewing the entire EE-6 membership list and
cross-referenced it with the AWMA membership listing in order to determine who was still a
member of AWMA and to confirm their contact information with our database. She
passed on this information to Mike McGinley (EE-6 Secretary).
Mike has updated any discrepancies in contact information. He has also started to
make contact with those people on the EE-6 membership list that are not in the AWMA
directory as an association member.
At this conference, the members in attendance voted to remove names from the
membership list that meet the following two criteria (both criteria must be
met):
a. no contact information is available &
b. they have not attended a meeting in at least 3 years
Mike will continue to review the membership list and make updates where appropriate.
He will also look at how to split the list in to "Active Members" (have
attended a committee meeting in past three years) and an "Inactive Members" list
(have not attended a committee meeting in three years or are not an AWMA association
member but they have expressed an interested in continuing contact with the committee).
The meeting adjourned at 1:30 PM.
