2005 MEETING MINUTES

22 June 2005
12:00PM - 1:30PM
Minneapolis Convention Center - Room 200J
Minneapolis, Minnesota

The meeting opened at 12:00PM

Martha O'Brien (Chair), Michael McGinley (Vice-Chair), and Anna Bokowa (Secretary) were present for the meeting.

A sign-in sheet was passed around the room. An attendance list is included with these minutes.

1. A&WMA and the Conference

Mike McGinley informed the committee that two new A&WMA subcommittees have been formed. One will evaluate all technical committees, and one will evaluate the technical program of the annual conference.

It has been proposed that presenters be given the option of submitting a brief manuscript (4-7 pages), or a full manuscript (up to 20 pages), as in the past. More presenters may participate if a full manuscript is not expected.

It has been proposed to reduce the number of simultaneous sessions at the annual conference. In the past, there has been 23-30 simultaneous sessions. At this year's conference, there is approximately 22 simultaneous sessions. At next year's conference, the intention is to have approximately 20 simultaneous sessions.

It has been proposed to limit speakers at conferences to two papers.

2. 2004 (Indianapolis) Meeting Minutes

The minutes from the 2004 Indianapolis Annual Conference were reviewed. No additions, deletions, or errors were noted. The minutes are available on the committee web site.

3. Session Proposals

Mike McGinley explained the new Call for Papers format, the "principal areas," and the online proposal forms.

The following Principal Area topics were determined with the accompanying Principal Area Lead (PAL):

a. Odor Impacts from Animal/Agricultural Operations
PAL: Mike McGinley - St. Croix Sensory

b. Odor Modeling
PAL: Ray Porter - CH2M Hill

c. Odor Impacts from Solid Waste Processing Facilities
PAL: Martha O'Brien - Odor Science and Engineering

d. Odor Management at Industrial and Manufacturing Facilities
PAL: Larry Hottenstein - ERM & Kathy Preston - RWDI

e. Panel: Highlights of the WEF/AWMA Odor Specialty Conference
PAL: Dick Pope & Martha O'Brien

Martha O'Brien submitted these topics for inclusion in the Annual Conference call for papers.

4. Report on the 2006 WEF Odor and VOC Specialty Conference

Adrianne Corolla, AWMA acting Executive Director, visited the committee meeting to discuss the WEF/AWMA conference. She reported that they are currently signing a memorandum of agreement between WEF and AWMA for the "Odors" conference. This will provide more shared revenue for the conference. Several members suggested that this is slow to occur, but a good step forward as this conference is increasing interest and attendance each year.

Dick Pope reported on the status of the 2006 conference to be held April 2006 in Hartford, CT. 113 abstracts were submitted. Up to 77 can be accepted. Details are still in the planning stages.

Ray Porter noted that it is disappointing that the WEF/AWMA Odor Conference was not listed on the AWMA Calendar of Events distributed at the annual conference.

5. Olfactometry Standardization

Martha O'Brien discussed the olfactometry standardization subcommittee goals. These goals were to review existing documents and standards to present an overview of current standardization to the entire committee.

Mike McGinley wrote a DRAFT review document for the subcommittee. This document is still under review. Any final versions will be provided through the committee web site.

Anna Bokowa is currently conducting some comparative studies for publication and presentation at the 2006 Odor Conference in Hartford.

6. Olfactometry Interlab Test 2005

Mike McGinley provided an update on the 2005 Interlab Olfactometry Study organized by OlfaTec (Germany). The 2003 study involved 52 labs from around the world, including labs from throughout Europe, Australia, Singapore, Hong Kong, and 7 labs in North America. The 2005 study involved 47 labs from these same countries, including 2 in North America. The testing involved four gases. Two gases were different concentrations of butanol and two were sulfur based gases used for odorizing natural gas in Europe. As of October 2005, results of the study have not been made public.

7. Discussion on Odor Sampling Methods

A subcommittee was formed to look at sampling methods. This subcommittee includes:

Larry Hottenstein - ERM
Anna Bokowa - Canadian ORTECH Environmental
Ray Porter - CH2M Hill

The subcommittee will gather information with respect to hot sources, area sources, flux chambers, pressurized vs static sources, and fugitive sources. A key area for discussion will be predilution of samples.

Chuck McGinley suggested gathering existing documents for us to review and potentially build on. One example would be Ontario Ministry of Environment (MOE) documents.

The meeting adjourned at 1:15 PM.

Respectfully Submitted,
Michael McGinley
Committee Vice-Chair
